 Erasmus + Students Exchange





ERASMUS + STUDENTS EXCHANGE

Erasmus educational mobility is conducted according to Standard or Elaborated Erasmus University Declaration and higher educational institution  bilateral agreement on Erasmus exchange (within quota limits). Students ( Turkish citizens or foreign students) registered in an institution of higher education are eligible to participate in Erasmus exchange program and spend part of their educational period  in a foreign educational institution based on the signed agreements. Monthly grant amount is calculated according to 27  EU countries’ living standards.

APPLICATION REQUIREMENTS

The application requirements can change every academic year. Thus, up-to-date requirements can be found in the announcements. General points regarding the subject are below.
In the semester  of  Erasmus program participation students should do at least their second year at university and they should be able to complete lessons with 30 ECTS equivalent before graduation.
Grade point average for two-year degree and Batchelor’s degree should be at least 2.20/4.00, for Master’s degree and PhD  it is 2.50/4.00.
Note: students who are going to join the exchange program are required to attend full-time education and  complete 30 ECTS for the current semester.

DOCUMENTS FOR APPLICATION

Pre-application form should include photo and signature. Before defining your preferences check the univercities’ websites for more information( the language of education, required language level and course content etc)
Transcrip (up-to-date): should be taken from Studet Affairs Department in English.

EVALUATION OF APPLICATIONS

Evaluation process will be conducted by IGU  Department of Foreign Languages on the basis of Erasmus Foreign Language examination results and average point  in transcript
Pass mark= Average point x 0,50 + Foreign Language exam result x 0,50/ depatment’s quota 
Additionally, points covered by Erasmus Programme Guide and points accepted by the Center annualy should be taken into consideration.

One students can join 12 months grant program at every stage of education(two-year degree, Batchelor’s degree, Master’s degree, PhD). However, during the placement process studets who joined Erasmus programs before will lose 10 points form their pass mark.

GRANT:

Students participating in Erasmus exchange programs are eligible to get financial support every month while being abroad ( An institution has a right to cut it accorging to a stundet’s academic success).  You can find  information about grants on our page.
However, the accepted studets’  right to get the grant depends on the sufficient financial sources assigned to our university. The students who are not given the grant are entitled to back out of the program or join it with “0” grant.

APPLICATION PROCEDURES DURING THE PLACEMENT

Before preparing the application forms, students are required to check web page of the chosen university for academic calendar, course schedule, application dates, documents required etc. Check the page of a university for up-to-date information. Students are responsible for submitting the documents on time.

A- Application forms: The forms below will be sent to the foreign university by our unit. Document requirements can change depending on university. You need to fill in the forms on the computer. Please, use the forms that are required by the university you chose to apply.You can find the forms which are not provided by university or documents which are requied by IGU available by means of  “documents required” link.
All application documents should be submitted to International Relations Unit. at least 10 days before the last day of application.
Application form is a form that can be found on the web pages of universities or that can be sent to you via e-mail. Some universities accept this form online.
Learning agreement: the form that shows the courses and credits a student will take. It should be prepared together with department coordinator before departure. Total credits amount of courses taken must be 30 ECTS. These forms are sent together with application documents.
Accomodation form: will be sent to you in case the university you’ll  go to  provides you with accomodation.
Photo: should be submitted upon the request of the university.
Passport photocopy: Erasmus students need to pay only paper fee. You can get the necessary document for free of charge passport issue in our unit. You are required to submit passport photocopy together with application documents.    
In case you need to renew your passport apply for  Passport Office Directorate of Police Department.
CV: should be prepared upon the request of the university
Motivation Letter: should be prepared upon the request of the university
Language Certificate: will be given by our unit upon the request of the university
B- On acceptance:
Letter of acceptance will be sent by the university to the address you stated in the application form or to our unit. In any case, the original document will be given to the student and its  photocopy will be kept in our unit.
Health insurance: full-sope health insurance is a must. Insurance should be accepted in the country you plan to go and during your  whole stay there.  Some insurance tyoes cover the whole stay but agreements follow each other within 90 or 92 days.  These types of incurance are not accepted. It is recommended to have an  insurance policy which includes ambulatory treatment as well as inpatient treatment and all types of transportation. Deposits can change from country to country so you must check the insurance requirements for the country you will go. Moreover, the photocopy of the insurance policy should be submitted to International Relations Unit. In case you are registered in Social Security Institution and the country you are going to has an agreement with it you can take the necessary forms from the named institution.
Account book photocopy: You need to open a euro account in a required bank and submit an account book photocopy to our unit.
Visa photocopy: On getting your passport you are required to bring photocopy of the visa page to our unit our scan the page and send it to erasmusofisi@gelisim.edu.tr
Agreement: Before joining the program you need to sign the agreement prepared by our unit. One copy will be given to a student, and one copy will be kept in a student file.
OLS (Online Linguistic Support) Examination: From 2014-2015 academic year it’s been a must for Erasmus+ students to take this exam before participation in the program. The exam is prepared by European Commission and includes 6 languages (English, German, French, Italian, Spanish and Dutch). The examination sould be taken in the language of education. Every university is given a certain number of licences by European Commission. The students who will join the program will be given the licence, it can’t be used by third parties.
The licence distribution is done by our unit for students who completed all the procedures. When licence completion information is sent to the student’s e-mail examination notice will be mailed  by the system.  The examination should be taken before our unit defines it to the system. The examination aims to state  your level, so it will not deter you from  participation in the program. The exam is done before and after the participation to state the developmen of language level in students. The results can be seen only by the sending institution and the student. The university which accept the student will not be informed about the examination results. Before taking the exam you need to enter Erasmus + program’s  start and finish dates. You will take the second examination on your return after the stated finish date. Please state finish date on the day you plan to return.
Students whose level is B1 or lower will be offered a course by the system. You are allowed to take this course online for free during your education process. Those whose level is B2 and higher are allowed to take a course in the language of exam or the language of education given  in the institution you go to. In case you choose the course, inform our unit about it so that we can organize the necessary licence.
You can take the examination step by step on the computer when you are available. The difficulty of the questions changes according to your level. It means that every following question will depend on how successful you answered the previous one. As the examination will help to define your level, education will start from the stated  level. That’s why answering the questions on your own is essential for your future education. Those who haven’t finished  the exam before participation in the program will be prohibited from participation.

 [2] ON DEPARTURE:
İn case of any changes in the agreement, students participating in the program need to consult the department coordinator and send filled in and signed LA- Changes form to erasmusofisi@gelisim.edu.tr.  It is  the firth and fifth pages of Education Protocol ( more details are available on  page ‘Documents’).
 
 [3]  ON RETURN
The documents listed below should be submitted to International Relations Unit not later than 1 month after return.
Certificate of Attendance/ Letter of Confirmation  is given by the university you attend. If you want to keep the original ask for two copies of the document.

Transcript is given by the university you attend. University can send it with you or by e-mail.
Photocopy of passport:  the copy of your passport page with entry/exit stamps and your certificate of attendance will be taken into consideration while calculating the grant. Your passport photocopy should be submitted to our unit after you return. LA After Mobility Form should be prepared according to your transcript and previous LA forms and sent via e-mail to International Relations Department.

OLS: You are required to take OLS examination again after you return. The system will inform you automatically after the finish date you specified in the system during the first OLS exam.
Final Report Form: includes the documents about evaluation and  brief information on Erasmus program. It’s been submitted online since 2014-2015. After you submit all the necessary documents you will get a report request via e-mail. You need to fill it in online and confirm it in the system.
Feedback form: includes information on your experience during your educational process and your evaluation of it (passport, isa, trip, accomodation etc). This form will be useful for studets who decide to go abroad in future. This form should be sent to erasmusofisi@gelisim.edu.tr
 
Academic recognition: is applied for all academically recognized credits. For academic recognition the 6th page of Learning Agreement Form is used. The document will be sent by UIB to the necessary Faculty/Graduate School/College for Board decision
